About the Position

Applications are invited for the position Departmental Secretary (Grade 11) at Johannesburg Control Tower. The successful applicant will be reporting to the Manager: CAMU.


ATNS is seeking a candidate to perform CAMU department's duties which requires considerable independent judgement, initiative, problem solving, accuracy, and handles all clerical and administrative functions, confidentiality in the CAMU environment.

Major Activities

  • Management of manager's time and own time.

  • Implement and maintain a wide variety of files, records and reports.

  • Work independently in the absence of specific instructions.

  • Establish and maintain effective working relationship with departmental staff.

  • Be discreet and tactful in safeguarding sensitive information.

  • Perform complex and varied clerical work involving considerable independent judgement, initiative and accuracy.

  • Receive and place phone calls and/or greets visitors, takes and relays messages, responds to requests for information, provides information or directs caller/visitor to appropriate individual.

  • Mail, fax or arrange for delivery of correspondence to clients, internal and external.

  • Draft and type memorandums, communicating effectively.

  • Judgment and decision making - Consider the relative costs and benefits of potential actions and choose the most appropriate one.

  • Ensure that meetings are arranged on time and the participants are properly informed and provide all documentation for meetings (including agenda, minutes of the previous meeting, etc and sent timeously to participants).

  • Make photocopies of confidential correspondence, documents and other printed matter.

  • Maintain and/or create files or record keeping systems. Sorts, labels, files and retrieves documents, or other materials.

  • Organizing, planning and prioritizing work - developing specific goals and plans to prioritize, organize and accomplish work.

  • Minutes of meeting need to be distributed to all participants within 7 working days.

  • Assembles data and co-ordinates work flow for the timely preparation of routine correspondence.

  • High Priority: Diary management and coordination (adjusting actions in relation to others' actions) messages, appointments - personal and with clients, communication skills, language usage, liaising with clients, preparing documentation for meetings.

  • Proficient in the implementation of ISO procedures as per the Quality Manual

  • Responsible for arranging travel and accommodation for all staff

Minimum Qualifications

  • Grade 12

  • 2 years Secretarial Diploma,

  • Microsoft packages including Word, Excel, and Power Point

Minimum Experience

  • 5 years of progressive responsible secretarial experience. Good knowledge of procedures and office management and administrative skills.
